PROJECT MANAGEMENT FOR THE ORGANIZATION OF A LAUNCH EVENT

The Jurivision team at the University of Ottawa’s Faculty of Law is seeking proposals from individuals with experience in event planning and management in an academic or professional setting to coordinate and organize a launch event unveiling the multimedia project on the Supreme Court of Canada, developed as part of the Supreme Court of Canada's 150th anniversary.

This national initiative will provide Canadians with an immersive and accessible learning experience in both French and English through two key components:

  • An online educational program featuring interactive modules and documentary-style videos hosted on a learning platform. The program will include testimonials from judges, lawyers, and litigants who have experienced the Supreme Court of Canada firsthand.
  • An immersive game experience that allows users to explore the interior of the Supreme Court of Canada building through an interactive digital environment.

Services Required

We are seeking proposals for project management services to coordinate the organization of a prestigious launch event to be held in Ottawa in October 2025. The successful candidate will work under the supervision of the Jurivision producer and will be responsible for overseeing the logistical and operational aspects of the event.

Key Responsibilities

The selected project manager will be responsible for the following tasks:

General Coordination

  • Develop a detailed event management plan, including a clear timeline and milestones.
  • Act as the liaison between the Jurivision team, suppliers, and external partners.
  • Establish and manage a realistic schedule for each phase of the event.

Event Logistics

  • Oversee guest registration and the invitation list.
  • Coordinate catering services, including meal and refreshment selection.
  • Prepare signage and promotional materials for the event.
  • Manage guest reception and ensure smooth event execution.

Communications Management

  • Collaborate with Jurivision’s communications team to promote the event.
  • Draft invitations, registration confirmations, and post-event thank-you notes.
  • Manage social media engagement before, during, and after the event.

Participant Coordination

  • Manage the logistics related to the participation of speakers, judges, lawyers, and special guests.
  • Ensure clear communication with all participants before and during the event.

Post-Event Follow-Up

  • Gather feedback from participants and partners.
  • Prepare a post-event evaluation report (participation, outcomes, feedback).

Requirements and Qualifications

The selected candidate must:
✔️ Have experience project mananagement or in event planning.
✔️ Possess excellent organizational, communication, and time management skills.
✔️ Be able to work independently while coordinating effectively with the team.
✔️ Be fluent in both French and English (oral and written).
✔️ Have the ability to manage multiple priorities and meet tight deadlines.
✔️ Be comfortable using online platforms for managing guest lists and event logistics.
✔️ Have a strong understanding of suppliers and logistical resources available in Ottawa (an asset).

Scope, Timeline, and Deliverables

The contract will run from May 2025 to October 2025 for approximately 90 hours in total..

📅 May – June 2025

  • Development of the event management plan and identification of logistical requirements.
  • Coordination with suppliers and establishment of the production schedule.

📅 July – September 2025

  • Detailed planning and finalization of event details.
  • Finalization of invitations, registrations, and logistical requirements.

📅 October 2025

  • On-site coordination on the day of the event (setup, reception, troubleshooting).
  • Post-event follow-up and reporting.

Pricing and Proposal Evaluation

Interested candidates must submit:

  • A detailed quote
  • Examples of similar projects completed.
  • The proposed hourly rate (University of Ottawa students will be compensated at the standard university rate).

The total proposed amount should include travel expenses and other related costs.

Proposals will be evaluated based on:

  • The candidate's experience.
  • Cost-effectiveness.
  • The ability to meet deadlines.

The Jurivision production team will evaluate proposals based on the experience of the service provider, the intrinsic value of the proposal, and the relationship between the quality of the proposal and the cost of the services requested. Any contract resulting from this call for proposals will be awarded in accordance with the University of Ottawa's procurement policy.

About the Project

The University of Ottawa Faculty of Law is working on creating a multimedia learning experience for the 150th anniversary of the Supreme Court of Canada in 2025. The project aims to produce an ecosystem of interactive media that will showcase the history and workings of the Court, allowing Canadians to learn more about the role of this important institution in Canadian society.

A multidisciplinary team, working at the intersection of research, education, and media production, is currently developing multimedia content that will be integrated, either in whole or in part, into two innovative digital platforms.
